Compress a PDF for Email (and When Splitting Is Smarter)

If an attachment bounces, the problem is almost never “ZIP it.” Inboxes cap message size, and PDFs get heavy fast: phone scans, slide decks exported as PDF, and merged invoice packets full of images.

Typical size limits

Gmail and many Outlook setups choke around 25 MB for the whole message. Your PDF needs room left for the email itself. Aim well under the limit so mobile clients and corporate gateways don’t reject the send.

Try compression first

Open /tool/compress-pdf, upload the file you already have, and download the smaller copy. Keep the original as your print-quality master. For a step-by-step packet path, use /compress-pdf-for-email.

When compression isn’t enough

Delete blank pages on /tool/edit-pdf-pages. Split appendices with /tool/split-pdf. Or rebuild a shorter packet with /tool/merge-pdf so you’re not emailing chapters nobody needs.

Phone photos

Turn photos into a PDF with /tool/jpg-to-pdf (or Images to PDF for mixed formats), then compress. Don’t WebP a scan packet for email — stick to PDF.

Merge then shrink

Building a client packet from several files? Merge first, then compress: /merge-and-compress-pdf. That order matches how most people actually assemble invoices and contracts.

What actually gets smaller

Compression helps most when the PDF is full of photos or scanned pages. A text-only invoice that is already 200 KB will barely move, and running it twice will not invent a smaller file. Image-heavy scans are the opposite: the same three pages can drop from several megabytes to something an inbox will accept. If the download is still over your limit, the next cut is pages, not another pass. Drop the appendix, split the file, or reshoot the darkest photos at a lower resolution before you convert them. Keep the uncompressed original in your own folder. The copy you email is a delivery file, not the record you would reprint.
