How to Convert Excel to CSV
Export spreadsheets for scripts, databases, and imports — using Excel, Google Sheets, LibreOffice, or FileToolsHub.
CSV (comma-separated values) is the lingua franca for data imports: SQL loaders, Python pandas, mailing lists, and legacy ERP jobs. Excel workbooks (.xlsx) hold multiple sheets, formulas, and styles CSV does not. Conversion means choosing the right sheet, picking a delimiter, and encoding text so nothing breaks downstream. Regulatory and finance teams often require CSV because auditors can diff plain text in git; XLSX zip internals are harder to review line by line in pull requests.
Excel on desktop
Open the workbook, select the sheet you need, then File → Save As → CSV UTF-8 (Comma delimited) (*.csv) on modern Excel for Windows. Mac Excel offers CSV variants — prefer UTF-8 if non-English characters appear. Only the active sheet exports; repeat for other tabs if needed. Formulas save as their displayed values in CSV, not live formulas. Formatting and charts are dropped — expected.
Google Sheets
File → Download → Comma Separated Values (.csv). That exports the current sheet only. For multiple sheets, download each tab separately or use Apps Script for batch jobs. Macro-enabled workbooks (.xlsm) may block Save As CSV until you copy values to a new sheet without macros — security prompts vary by IT policy.
LibreOffice Calc
File → Save As → Text CSV. The export dialog lets you set separator, quote character, and character set — useful for European semicolon-separated files expected by some bank portals.
Browser conversion on FileToolsHub
When you cannot open Excel locally — or you want a quick check — upload .xlsx or .xls to /tool/excel-to-csv. Pick the sheet if prompted and download CSV. Good for one-off handoffs without installing Office. For the reverse path (CSV back into a styled workbook), see /tool/csv-to-excel. European Excel sometimes defaults to semicolon separators based on regional settings; confirm delimiter with the importing team before automating.
Delimiters, quotes, and line breaks
If cells contain commas, CSV wraps them in double quotes. Embedded quotes double up. Newlines inside a cell are legal but break naive importers — trim or replace them before export when the target system is strict. After export, spot-check date columns — Excel serial numbers as raw integers break downstream unless formatted as ISO dates pre-export. Semicolon CSV is common where comma is the decimal separator; match what your importer documents.
Encoding
UTF-8 prevents mojibake for accents and CJK characters. Old Windows tools sometimes expect Latin-1; if import fails, re-export with the encoding your vendor specifies.
Handoff checklist for downstream teams
Email the CSV with a note naming the delimiter, encoding (UTF-8), and whether the first row is headers. If the import fails, ask for the exact error line — often it is a stray quote in a free-text field. For recurring pipelines, document which sheet tab is canonical and freeze formula cells to values before export when recipients must not see live references. When regulators expect immutable snapshots, name files with the export date and store the XLSX source beside the CSV in your records system. Browser conversion on /tool/excel-to-csv suits ad hoc requests; automate desktop export when files are large or contain sensitive rows your policy keeps off upload services.
Scientific and engineering exports sometimes use comma decimals; CSV from European Excel may need semicolon delimiters — confirm with the importer before re-exporting. Empty trailing rows and columns inflate file size and break strict row-count validators; delete unused ranges before Save As. Merged header cells become ambiguous in CSV — unmerge and duplicate header labels on row one only. If you rely on Excel tables (structured references), convert table to range before export so formulas become values when that is what downstream expects. For Git diffs, normalize line endings to LF in a text editor after export on Windows. Schedule recurring exports with Power Automate or cron-driven scripts on a VM when browser upload is not acceptable for confidential rows.
FAQ
Why did my leading zeros vanish? Excel often treats ZIP codes and IDs as numbers. Format columns as Text before typing, or fix on import — see our CSV-to-Excel leading-zero guide.
Can CSV hold multiple sheets? No — one file per sheet, or use XLSX for multi-tab data.
Are macros preserved? No. CSV is data only.
Is upload required on FileToolsHub? Excel conversion runs server-side for the job; use desktop export if policy forbids uploads.
